Privacy Policy
Effective October 26, 2026
This Privacy Policy explains how Apollo Shareholder Relations Ltd. ("Apollo", "we", "us" or "our") collects, uses, shares and protects personal information. It covers apollorelations.com, the email Apollo sends, the events Apollo runs, and the advertising and lead generation campaigns Apollo runs for its clients. The research brands Apollo operates have their own privacy policies on their sites. We follow British Columbia's Personal Information Protection Act and, where it applies, the federal Personal Information Protection and Electronic Documents Act and Canada's Anti-Spam Legislation.
Two roles
Apollo handles personal information in two ways. For its own activities, such as this website, its newsletters, its business email and its events, Apollo decides how the information is used and is responsible for it under this policy.
When Apollo runs a campaign for a client company, such as an advertising campaign with a sign-up form, Apollo collects the information on that company's behalf and passes it to that company. The company decides how it is used after that, under its own privacy policy, which is shown or linked where you sign up. This policy explains what Apollo does with that information while it is in Apollo's hands.
What we collect
- Website contact form and emails to us: your name, email address, your message, and the page you sent it from.
- Newsletter and event sign-ups: your name, email address and any details you choose to give, with the date, source and wording of your consent.
- Client campaign sign-ups: the details asked for on the form, usually your name, email address, phone number and province, state or country, with the date, source and wording of your consent.
- Business contact information for outreach email: names, email addresses, employers and job titles of investors and business contacts, obtained from third-party data providers and from publicly available sources.
- Email activity: whether a message we sent was delivered, opened or clicked, and any reply or unsubscribe.
- Analytics: Google Analytics records how our websites are used, such as pages viewed, approximate location derived from your IP address, device and browser type, and referring site, using cookies or similar technology.
- Advertising data: when Apollo runs advertising for a client, the client's website may use advertising pixels from Meta and Google, which record visits and actions on that site for measuring and targeting ads. Meta and Google also tell us how an ad performed, generally in aggregate.
- Server logs: our hosting provider records technical information such as IP address, browser and request time to deliver and secure our websites.
How we use it
- to reply to enquiries and keep a record of our correspondence;
- to send newsletters and updates you have agreed to receive;
- to send business outreach email where the law permits it;
- to deliver client campaign sign-ups to the client that ran the campaign;
- to measure, report on and improve campaigns, including monthly reports to our clients, which use counts and totals rather than your individual details where we can;
- to keep a record of unsubscribe and do-not-contact requests so that we honour them;
- to keep our websites and systems secure; and
- to meet legal, regulatory and record-keeping obligations.
Who we share it with
We do not sell personal information. We share it only as follows:
- Clients: details you submit through a client campaign go to that client. The client may use its own service providers, such as an investor relations call centre, to follow up with you, under the client's privacy policy. Apollo does not call or text people who sign up through a client campaign. Where Apollo manages a client's email list, email to that list is sent in the client's name, from the client's own account.
- Service providers that work for us: website hosting (Vercel), database (Supabase), email delivery and newsletters (Resend, Mailchimp, Smartlead and, until it is retired, Brevo), our own email (Microsoft), analytics and advertising (Google and Meta), and artificial intelligence tools used to help us prepare content and organize contact lists. They may use personal information only to provide their services to us.
- Where required or permitted by law, including to regulators, or in connection with a sale or reorganization of our business.
Email and your consent
We send newsletters and marketing email only to people who have agreed to receive them, or where the law otherwise allows it. Every commercial email we send identifies Apollo and, where it is sent for a client, that client, and includes a way to unsubscribe. We act on unsubscribe requests within ten business days.
Outreach email sent to business contacts relates to their professional role and is sent only where the law permits. If you unsubscribe, we add you to a do-not-contact record so that you are not emailed again.
Contacting us through our website does not add you to any mailing list.
Cookies, pixels and analytics
Our websites use Google Analytics cookies to measure use. Client websites where Apollo runs advertising may use Meta and Google pixels and cookies, described in that client's privacy policy. You can block or delete cookies in your browser, install Google's opt-out browser add-on at tools.google.com/dlpage/gaoptout, and manage ad preferences in your Meta and Google account settings. Our websites work without analytics cookies.
Artificial intelligence
We use artificial intelligence tools to help prepare content, analyse campaign results and organize contact lists. Personal information processed this way is handled by our service providers under their business terms, and is not used by Apollo to make decisions that have a legal or similarly significant effect on you.
Storage outside Canada
Our service providers store and process personal information in the United States and other countries. Information stored outside Canada is subject to the laws of those countries and may be accessed by their courts, law enforcement and national security authorities.
How long we keep it
We keep personal information only as long as needed for the purposes above and for our business and legal records, and for at least one year where we used it to make a decision about you. Unsubscribe and do-not-contact records are kept for as long as needed to honour them. Client campaign sign-ups are kept by Apollo only as long as needed to deliver them and report on the campaign. Copies may remain in our email and service provider systems for their standard retention periods.
Security
We use reasonable safeguards to protect personal information, including encrypted connections, access controls on our accounts, and limits on who at Apollo can see contact lists. No method of transmission or storage is completely secure.
Your choices and rights
You may ask to access or correct the personal information we hold about you, ask how it has been used and disclosed, or withdraw your consent to its use, subject to legal and contractual limits, by writing to our Privacy Officer. For information you gave a client through a campaign, you can also contact that client directly. We will respond within the time required by law. If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner for British Columbia or the Office of the Privacy Commissioner of Canada.
Children
Our websites, email and campaigns are intended for adults and are not directed to anyone under 19. We do not knowingly collect personal information from minors.
Changes
We may update this Privacy Policy. Changes take effect when posted with a new effective date.
